A capable supplier does more than send a price. It should help a buyer define the right model, document the order, clarify the actual MOQ and packaging assumptions, and agree on how any verified mismatch with the approved scope will be handled.

Start with the order you are trying to place

The first question is not whether a supplier calls itself a factory. It is whether the supplier can support the buying model you actually need. A retail buyer, an online seller, a distributor and a private-label brand all need different answers before they can compare an offer responsibly.

Give every supplier the same starting brief: destination market, sales channel, target price position, product direction, quantity range, packaging expectation and launch timing. If Incoterms are used, ask for the full rule, named place or port, and the version. ICC guidance notes that the named place and the chosen rule affect delivery, cost and risk allocation. A three-letter term by itself is usually not enough for a clear commercial comparison.

Make the sample prove something specific
